You can add Evidence items to your case from the Evidence screen by selecting Add Evidence on the left side of your screen.
When adding your Evidence item, the Evidence Number will (1) auto-populate based on the exhibit numbering scheme you set up in Lab administration; however, it can be manually overwritten if necessary. You can then select the Evidence Type (2) and enter a brief Description (3) of your item. Enter Receipt Date (4) and Serial Number (5), a customizable field. If itemizing your evidence, you can select the Parent item (6) and, if containerized, the Container (7) item.
If your item was taken from a Crime Scene (8) or collected by a Responder (9), these fields may be populated accordingly. The submitting Agency (10) and Agency Representative (Finder) (11) may also be entered. If the item originated from an Individual, you may select the appropriate one from the Owner (13) field.
The Origin (12) of the item and its Intended Disposition (14) can also be entered. If the item is to be placed on Hold, check the Hold box (15).
Your item can be related to an existing case Agency Rep, Offense, Individual, or Request by selecting the appropriate icon in the bottom left corner to open the relationship dialogue (16).
Finally, click Save to save your item and close the form, Save and Add Another to save your item and add another item, or Cancel to cancel your entry.
Once your item has been added, you can Add a Child Item, Edit your Item, Remove your item, or Add related Attachments by left clicking on the current item.
Once your item has been added, you can transfer it from location to location and the chain of custody will be tracked. For New Cases, the initial transfer will take place on the Transfer Evidence screen at the end of the case entry. Existing case items can be transferred from the Transfer Evidence window (See also How do I Transfer Evidence.) Chain of Custody information can be accessed by left clicking on your item and selecting Show COC. The third tab of the window shows a record of all transactions for the item.
